Timetable Dates and Deadlines for Schedulers and Advisors

The Registrar team’s goal is to provide consistency and transparency in the timetable process. We will collaborate with you to have the timetable as stable as possible between the time registration starts and classes begin. Departments are encouraged to keep changes to a minimum after registration begin. We will assist you if changes are necessary.

  1. Winter Mini Term 2024 classes begin on Tuesday, January 2, and end on Friday, January 19. Martin Luther King, Jr. Holiday is Monday, January 15.
  2. The term code is 202415 and the part of term code for all sections should be “W”.
  3. We highly recommend WMT classes be offered in an online modality due to limited space and services on campus during this time frame. All classes will be assigned fully online attribute unless we hear otherwise.

  1. Students can view the WMT timetable starting September 25, and register starting October 2.
  2. Please review the full offering of WMT courses available to your students.
  3. Registration windows are based on official classification when the timetable is released. Classification levels are determined by completed credit hours only; in-progress credits are not included. Spring 2024

  1. Classroom assignments will be finalized from September 24-October 9. Timetable edits and changes are not possible during this time frame.
  2. The edit period will re-open October 9.  Beginning this date, if you are adding a new section or increasing the capacity of a section, you must consult the classroom availability reports and contact our office to determine whether a classroom is available before adding the section or making changes.
  3. Priority registration will begin October 23.
  4. Please pay close attention to any non-standard class times or lab sections that may still need adjustments.Valid class times are required for a section to be assigned a campus-hosted classroom.  Departmentally owned space must be identified for sections with invalid or non-standard class times or the times of the sections need changed to valid times.
  5. As you make changes to your sections, please let us know the following:
  6. The desired campus-hosted classroom
  7. The departmentally owned classroom assignment or lab assignment
  8. If a section does NOT need a classroom assignment
  9. The modality of all sections, even those that rolled and require no changes, so we can assign the modality attributes
  10. Remember to review your timetable report to see if you have sections in cancelled status that can be activated. This is helpful when adding new sections so that section numbers can be reused.
  11. Before registration begins, please check the following to ensure accuracy: (These elements cannot be changed on SWASECT and require additional assistance once students have registered for a section.)

  15. Classes meeting one day a week cannot meet in campus-hosted classrooms M-F during prime time. This includes single sections, seminars, and discussion or recitation portions of sections. Classes meeting one day a week Monday–Friday during prime time must be assigned to a departmentally owned space before registration begins. (Fourth-hour sections for four-credit hour courses do not fall into this category.)

  1. The week of September 18, 2023, please begin clearing student advising flags for Spring 2024.
  2. Students are able to view their Spring 24 registration window in their MyUTK starting October 9, when the timetable is live and viewable.

  1. Please use section numbers that begin with 300 for First Session sections and section numbers that begin with 500 for Second Session sections. Full Session sections are numbered as usual (001, 002, etc.), but please verify they are three digits.
  2. Check your campus codes to reflect any study abroad or distance education campuses before the timetable goes live.
  3. Summer 3rd Session will again be offered for 2024. Third session will be 3 weeks long, the same length as a mini-term, and will run from July 10-July 26, 2024.
  4. Third Sessions need to have a Part of Term = 4, and section numbers should start with 6.
  5. Please run your timetables in Argos to see course sections that rolled from 2023. Remember that instructor assignments do not roll.
  6. Valid class times from Summer 2023 will continue for Summer 2024.
  7. Priority registration will begin March 4.

  1. Classroom assignments have rolled for most sections with valid class times from Fall 2023. Departmentally-owned space must be identified for sections with invalid or non-standard class times or the times of the sections need changed to valid times by February 16, 2024.
  2. Classroom assignments will be finalized from February 16 to March 24. Timetable edits and changes are not possible during this time frame. Classroom space all across campus, including the west agriculture campus, will be utilized to provide efficient and appropriate classroom assignments according to approved guidelines.
  3. All sections must have a space assigned when timetable goes live for students on March 25.
  4. Priority registration will begin April 1.
